Overview

Camps let you group students attending an away event and manage all their health plans in one place. Once students are added, you can send guardians a direct request to create or update their child’s health plan specifically for the camp dates. MyMeddical automatically detects whether a plan already exists and shows the guardian the appropriate options.

Creating a camp

Open the Camps section

In the sidebar, click Camps, then click + New camp.

Set camp details

Enter the camp name, destination, and start/end dates.

Add students

Search for and add the students attending the camp. You can add students one at a time or in bulk.

Save the camp

Click Save. The camp is created and students are enrolled. You can return at any time to add or remove students.

Requesting health plan updates from guardians

Once students are enrolled, you can send each student’s guardian a direct in-app notification asking them to create or update a health plan for the camp dates.

Open the camp

Navigate to Camps and select the camp from the list.

Send health plan requests

Click Send health plan update requests. MyMeddical sends a personalised Health Plan Request notification to each student’s guardian.

Monitor responses

Check the camp dashboard to see which students have an active plan in place for the camp dates. The status updates automatically as guardians act on their notifications.

What guardians receive

Each guardian receives a Health Plan Request notification in the mymeddiCAL mobile app. When they expand it, they see one or two action buttons depending on whether an active plan already covers the camp dates: If a guardian taps Create Plan, the plan name, start date, and end date are automatically pre-filled to match the camp.

Which plans count as “already in place”

MyMeddical checks for any plan with a status of upcoming or in_progress whose dates overlap with the camp. Plans that are pending approval, completed, or canceled are not counted — guardians in those situations will see only Create Plan.
If a guardian previously submitted a plan that is still awaiting your approval, they will not see Update existing plan until the plan is approved. Approving the plan first gives guardians the most accurate view of their child’s current status.

On the day

Use the camp view to record health events, medication administrations, and watch-and-act responses for any student. All events recorded on camp are visible in the student’s full history after the camp ends.

Approving guardian-submitted plans

When a guardian creates a health plan in response to a camp notification, it enters the approval queue with a Pending Approval status. A staff member or admin must review and approve it before it becomes active. See Approving a health plan for the full approval steps.
