Overview

This guide walks you through setting up your organisation in mymeddiCAL — from signing up to having your students and guardians ready to go. mymeddiCAL stores and reminds; it does not give clinical advice. See What mymeddiCAL is — and is not.

Step 1 — Sign up on the web

  1. Go to app.mymeddical.com/signup.
  2. Choose School, Sports Club, or Childcare as your organisation type.
  3. Select the subscription plan that matches the number of students or athletes in your organisation.
  4. Complete payment — your account is provisioned automatically.
You will receive a Super Admin account. This is your primary administrator login — keep these credentials secure. Decide how staff will sign in before you invite the rest of the team: email and password (default), or your school’s Microsoft Entra / Google Workspace account. Super Admin setup: Staff sign-in and SSO. Parents always use an email code, not school SSO.

Step 2 — Choose your setup path

Once logged in as Super Admin, you have two main tasks: getting your people into the system. You can do these in any order. Path A — Add staff first, then students Best if your nurses, coaches, or coordinators need to be involved in entering student data.
  1. If staff will use Microsoft or Google, set that up first (Staff sign-in and SSO).
  2. Invite your staff members (see Inviting staff).
  3. Once staff are set up, import or add your students.
Path B — Import your student body first Best for bulk onboarding at the start of a term or season.
  1. Import your students via the bulk upload tool (see Importing students), or add them one at a time (Adding a student).
  2. Invite staff afterwards.

Step 3 — Import or add your students

Each student record includes a linked guardian. When uploading students in bulk:
  • Each student row in the import file should include their primary guardian’s name and email.
  • mymeddiCAL creates the guardian records automatically alongside each student.
For manual entry, add students one at a time and link guardians from the student profile.

Step 4 — Invite guardians (optional)

Once your students and guardians are in the system, you can invite guardians to mymeddiCAL so they can:
  • View their child’s health plan
  • Receive medication and incident notifications
  • Create and manage health plans for their children
To invite a guardian, open Guardians, tick the rows, and click Send Invites (see Inviting a guardian). The guardian must already have an email on the student record.
Inviting guardians is optional. Some organisations prefer to manage health plans entirely through staff without enabling guardian app access.
