# Recording a medication event

> Three ways to record when medication is administered — ad-hoc from the Events screen, from a student's health plan, or by marking a scheduled event as completed.

## Overview

There are three ways to record a medication event in mymeddiCAL, depending on the situation:

1. **Ad-hoc event** — unplanned administration that wasn't pre-scheduled
2. **From a student's plan** — recording against a known, active health plan
3. **Marking a scheduled event as completed** — completing a planned event already in the Events list

## Method 1 — Ad-hoc event (Events screen)

Use this when you need to record a medication administration that wasn't pre-scheduled — for example, a one-off dose for a student who presented unexpectedly.

1. In the left sidebar, click **Events**.
2. Click **+ Create event**.
3. **Step 1 — Student:** Search for and select the student this event is for.
4. **Step 2 — Event details:**
   * **Event category:** Defaults to **Ad-hoc** — leave as is.
   * **Associated plan:** Select the student's relevant plan, or choose **None** if there is no plan.
   * Enter the **Event name** and **Event type** (Medicated care or Watch & Act).
   * Set the **date and time** (defaults to now).
   * Select the **location** (School, Home, Camp, or custom).
   * Enter the **Dispenser/carer** name (required).
   * Optionally enter a **Witness** name.
   * Add any **attention notes** if needed.
5. **Step 3 — Medication details:** Fill in the medication name, dosage, administration method, storage instruction, and meal timing. (For Watch & Act events, enter the symptom/trigger and action taken.)
6. Click **Create**.

The guardian is notified automatically.

## Method 2 — From a student's health plan

Use this when you're recording an event directly against a student's existing health plan.

1. In the left sidebar, click **Students** → select the student.
2. Open the student's active health plan.
3. Click **Create event** (or **Record administration**) on the plan.
4. The student and plan are pre-filled — complete the event details from Step 2 onward as above.
5. Click **Create**.

  This method skips the student search step and automatically links the event to the correct plan.

## Method 3 — Marking a scheduled event as completed

Use this when a planned event already exists in the Events list and you're marking it as done after it has occurred.

1. In the left sidebar, click **Events**.
2. Find the upcoming or in-progress event in the list.
3. Click the **⋯** menu on the event row → select **Mark Completed** (or **Completed**).
4. Fill in the completion details:
   * **Dispenser/carer** (required)
   * **Location** (required)
   * **Witness** (optional)
   * **Remark** (optional)
5. The **Email primary guardian** toggle is on by default — the guardian receives a confirmation email when the event is marked complete. Turn it off if you don't want to notify them.
6. Click **OK**.

The event status updates to **Completed** in the list.

  You can also **Cancel** a scheduled event from the same ⋯ menu — this requires you to enter a reason for the cancellation.

  Guardians are notified automatically (by email and push notification) when a medication event is recorded or completed against their child's plan.
