## Overview

An adhoc event is any unplanned occurrence involving a student that you want to record in mymeddiCAL — a sick bay visit, a fall in the playground, a one-off medication, or any other incident. Unlike scheduled events, adhoc events are created on the spot from any screen.

## Steps

### 1. Start the event

Click **Create event** — this button is available from any screen in the application.

### 2. Find the student

* Type the student's name into the search box.
* Click the correct student from the results and confirm the selection.
* Click **Next**.

### 3. Fill in event details

| Field               | What to enter                                                                                                              |
| ------------------- | -------------------------------------------------------------------------------------------------------------------------- |
| **Event category**  | Select **Adhoc**                                                                                                           |
| **Associated plan** | Select **None** unless the student has an active long-term health plan — in that case, link the event to the relevant plan |
| **Event name** | Describe the event (e.g. *Sick bay visit*, *Fall in playground*, *Bee sting*) |
| **Event type** | **Medicated** if medication was given; **Non-medicated** for observation, first aid, or no medication |
| **Date** | Defaults to today — you can change it to a past date but not a future one |
| **Location** | Choose where the event occurred |
| **Carer** | The staff member responsible for this event (required) |
| **Witness** | An optional second staff member who was present |
| **Notes** | Any additional context or observations |

Click **Next**.

### 4. Add symptom and action

Record what happened and what was done:

* **Symptom** — what the student presented with (e.g. *Scraped knee*, *Headache*, *Allergic reaction*)
* **Action** — what was done in response (e.g. *Applied bandage*, *Administered paracetamol*, *Called parent*)

### 5. Create the event

Click **Create**. The event is saved and the guardian is notified automatically.

<Tip>
  You can record adhoc events for students who don't have a health plan — simply set **Associated plan** to **None**.
</Tip>

<Note>
  Guardians receive an automatic email and push notification when an event is recorded against their child.
