# Staff roles

> Which roles you can assign when inviting staff, and who can change organisation settings.

## Overview

When you [invite staff](/admin/inviting-staff), you pick a **role**. That label is what they see on Staff & Users. **Super Admin** is the person who created the organisation (or was given that role) — it is not in the usual school invite list.

Parents and guardians are not staff roles. They use a separate login. See [Inviting a guardian](/staff/inviting-a-guardian).

## Who can change the organisation

| Invite and manage staff                                                       | Super Admin (staff seats on paid plans)                                                                  |
| Students, health plans, events, camps, forms, inventory                       | Staff with an active login (Nurse, Teacher, Administrator, Coach, and the other operational roles below) |
| Approve or reject a guardian-submitted health plan                            | Staff who can open **Approvals** (typically Super Admin, Administrator, Nurse, Support Staff)            |

If you cannot see **SSO Settings** or **Subscription & Billing**, you are not Super Admin. Ask the organisation owner.

## School and daycare roles (invite dropdown)

These are the labels on **+ Add Staff** for schools and daycares:

* Teacher
* Assistant Teacher
* Nurse
* Doctor
* Administrator
* Coordinator
* Support Staff

Pick the label that matches how they work day to day. **Nurse** is the usual choice for the person recording medication events. **Administrator** is for office / coordination, not a second Super Admin.

## Sports club roles (invite dropdown)

* Super Admin
* Admin
* Head Trainer
* Coach
* Team Manager
* Assistant Coach
* Team Trainer

## Practical rules

* One Super Admin should keep a working login (password or [SSO](/admin/sso-settings)) so you are never locked out of billing and SSO.
* Deactivating a staff member under Staff & Users stops their mymeddiCAL login. If you use Microsoft Entra, also remove them from the Entra group. See [Staff sign-in and SSO](/admin/sso-settings).
* Guardians never receive a staff role.
