# Approving a health plan

> Review and approve or reject health plans created or modified by a parent or guardian. Applies to schools, daycares, and sports clubs.

## Overview

When a parent or guardian creates a new health plan or modifies an existing one, it is placed in a **Pending Approval** state. The plan does not become active until a staff member or admin reviews and approves it. This ensures all health plans on file have been verified by the organisation before being used.

This applies equally to **schools, daycares, and sports clubs**.

## How a plan enters the approval queue

1. A guardian logs in and creates a new health plan — or edits an existing plan — for their child or athlete.
2. The plan is saved with a **Pending Approval** status (it is not yet active). No events or medication schedules are generated.
3. An approval request is automatically created and appears in the **Approvals** screen for all eligible staff.

## How staff are notified

When a plan is submitted for approval, eligible staff are notified through:

* **In-app notification** — a toast notification appears in the top-right corner of the web app when the tab is active.
* **Bell badge (mobile)** — the bell icon in the top-right of the mobile app shows a numbered badge. Tapping it opens the notification sheet with a **"X pending approvals"** banner that navigates directly to the Approvals screen.
* **Push notification** — staff with the mymeddiCAL mobile app installed receive a push notification (subject to their notification settings).

The following roles can see and act on pending plan approvals:

## Reviewing a pending plan approval

### Web

1. In the left sidebar, click **Approvals**.
2. Find the pending plan request in the list — it will be labelled **Plan Created** or **Plan Modified**, and shows:
   * Priority level (Critical / High / Medium / Low)
   * The student's or athlete's name
   * Who submitted the request (guardian's email and role)
   * When it was submitted
3. Click **View Details** to see the full plan information before deciding, including:
   * Plan name and category
   * Care options
   * Start and end dates
   * Medications (name, dosage, administration method, storage)
   * Watch & Act items (symptom/trigger and action to take)

### Mobile App

1. Tap the **bell icon** in the top-right header — it will show a numbered badge when approvals are pending.
2. In the notification sheet, tap the **"X pending approvals"** banner.
3. You can also navigate directly via **More → Approvals**.
4. Each pending plan is listed with the student/athlete name, plan name, category, and date range.
5. Tap a plan card to expand it and review the full details.

## Approving a plan

### Web

1. On the approval card, click **Approve**.
2. Optionally add a note (e.g. "Verified with school nurse").
3. Click **OK** to confirm.

### Mobile App

1. In the approval card, tap **Approve**.
2. Confirm in the dialog.

The plan status changes to **Active** and the guardian is notified that their plan has been approved. Medication schedules and care events are generated immediately.

## Rejecting a plan

### Web

1. On the approval card, click **Reject**.
2. Enter a reason for rejection — **this is required**.
3. Click **OK** to confirm.

### Mobile App

1. In the approval card, tap **Reject**.
2. Enter a rejection reason.
3. Confirm.

The plan remains inactive and the guardian is notified of the rejection along with your reason. They can update and resubmit.

## Accepting Terms & Conditions for your organisation

If the **Approvals** screen shows a "Terms & Conditions required" prompt instead of pending items, you need to accept your organisation's T\&Cs before you can view or action approvals.

Tap **Accept Terms & Conditions** in that prompt. This only needs to be done once per organisation. If you switch between multiple organisations (e.g. personal account and a school), you may be prompted again when switching.

  Use the priority filter to triage Critical and High priority plans first — these typically involve severe allergies, anaphylaxis, or complex medication schedules.
